How the Glendale Band Booster Club handles your information

The Glendale Band Booster Club, Inc. ("we", "us", "the Boosters") operates this website to support the Glendale High School band program. This policy explains what information we collect, why we collect it, and what we do with it.

Who this policy covers

This site is used by band students, their parents and guardians, and booster volunteers. Because our members include minors, we take particular care with student information and we do not use it for advertising or marketing of any kind.

Information we collect

We collect only what we need to run the band program:

Student information provided by the school or by band directors: name, student ID, grade level, course, and ensemble or section assignment.
Parent and guardian information: name, relationship to the student, email address, and phone number.
Account information: your email address and a securely hashed password. We never store your password in a readable form.
Financial records: the fees assessed to a student, payments recorded against those fees, payment method used, and a reference number from our payment processor.
Messages you send us through the Contact Us or registration help forms.

Payment information

We never see or store your card or bank account number. Online payments are processed by Stripe. Your card or bank details are entered into fields hosted by Stripe and sent directly to Stripe's servers. This website records only the amount paid, the payment method type (card, bank transfer, or check), and a Stripe reference number so payments can be reconciled with your student's account.

Stripe's handling of your payment details is governed by their own privacy policy at stripe.com/privacy.

How we use your information

To create and manage your account and verify who you are.
To link parents and guardians to their students.
To track band fees, payments, and account balances.
To send transactional messages such as registration confirmations, payment receipts, and account notices.
To communicate about band activities, fundraisers, and events.

What we do not do

We do not sell, rent, or trade your information to anyone.
We do not share student information with advertisers.
We do not use your information to build advertising profiles.

When we share information

We share information only in these situations:

Service providers that make the site work: Stripe for payment processing and our email provider for sending messages. They may use your information only to provide that service to us.
Band directors and authorized booster officers, who need access to student and financial records to run the program.
When required by law, or to protect the safety of a student or another person.

Cookies

We use a single session cookie to keep you logged in as you move between pages. It is removed when you log out or when your session expires. We do not use advertising or tracking cookies.

How long we keep information

We keep student and financial records for as long as a student participates in the band program, and afterwards for as long as needed for the Boosters' financial recordkeeping. You may ask us to remove information that we are not required to keep.

Your choices

You may review or update your account information by logging in and visiting My Account. To request a correction or deletion, or to ask what information we hold about you or your student, please contact us.

Security

Access to student and financial records is limited to the accounts that need it. Passwords are stored using one-way hashing, and payment details never reach our servers. No system can be guaranteed completely secure, but we take reasonable steps to protect the information entrusted to us.

Changes to this policy

If we make significant changes we will update the date at the top of this page. Continuing to use the site after a change means you accept the updated policy.
